Optimize tasks with Kanban and Gantt for better team coordination

In the third installment of VAM Consulting’s webinar series, the spotlight turned to a powerful component of Bitrix24: its comprehensive Project and Task Management system. The session, led by Hudaifa Al-Omari, offered an in-depth walkthrough of how Bitrix24 supports daily operations, complex workflows, and cross-functional collaboration across departments.
 

Building a Digital Workspace Around Projects

The webinar began by illustrating how Bitrix24 serves as a unified digital workspace where every team member is connected through a single platform. Projects can be built as structured entities with defined start and end dates, deadlines, privacy settings, and assigned roles. Within each project, team members can share updates via dedicated feeds, post announcements, initiate chats, schedule meetings, and manage documents—creating a centralized hub for collaboration.

For more agile and flexible needs, Workgroups were presented as an alternative to formal projects. These are particularly effective for internal initiatives, allowing task assignment and file sharing without the constraints of predefined timelines.
 

Managing Tasks at Scale

A significant portion of the session was devoted to task creation and control. Bitrix24 allows tasks to be:

• Created manually or cloned from templates
• Assigned with deadlines, roles (assignee, participants, observers), and approval conditions
• Enhanced using AI-powered CoPilot to clarify instructions or improve task language

The webinar demonstrated how tasks can be viewed in multiple formats including lists, Kanban boards, Gantt charts, and calendars, giving team members the flexibility to interact with their work in the format that suits them best. Each view supports drag-and-drop functionality and can trigger automated notifications when changes occur.

Automating Workflows and Dependencies

Bitrix24 supports automated task flows, enabling teams to standardize how work is routed through departments such as legal, HR, or finance. For example, requests sent to the legal department can be processed through a centralized “flow” that distributes incoming tasks fairly among team members, tracks progress, and flags bottlenecks.

The webinar also illustrated task dependencies—linking tasks so that one cannot begin until another is completed. This is especially useful in sequential workflows, ensuring that every phase of a project proceeds in the correct order.

Real-Time Collaboration and Accountability

Bitrix24 brings together chat, video conferencing, file sharing, and task updates in one interface. During the session, the presenter showed how project stakeholders can engage in live discussions, exchange documents, and leave comments—all within the task or project environment. This eliminates the need to jump between email, messaging apps, or external drives.

Team efficiency and accountability are reinforced through features such as:

• Mandatory completion summaries
• Task approvals
• Time tracking, where users log actual hours worked on each task

• Overdue alerts and escalation workflows

Insightful Reporting and Performance Analytics

To close the loop on operational control, the webinar showcased Bitrix24’s efficiency reports and dashboards. These include:

• Individual performance scores based on completed vs. overdue tasks

• Historical trend analysis of employee workload and output

• Customizable reports that track project timelines, task durations, and team participation

The BI Builder and workload dashboards help managers identify process inefficiencies and ensure fair task distribution across the team.
